Administrative Assistant [Back Office]

The Administrative Assistant (Back Office) owns the technical and academic infrastructure that supports faculty, courses, and student records: the systems and processes that operate behind the scenes, but that faculty, staff, and students all depend on daily.

Key Responsibilities

Faculty Support

• Serve as Moodle administrator, including course shell creation and access management.
• Coordinate grading workflows and support the grader coordinator function.
• Manage textbook logistics and library support resources for faculty and students.

Tech Backbone

• Serve as Freshdesk system administrator (configuration, routing rules, reporting).
• Provide website development and support (WordPress/Empower Pro).
• Support and maintain Canopy SIS and Pathway CRM at the administrative level.
• Administer Psephos, Google Meet, and YouTube accounts used for institutional delivery.

Student Records

• Maintain official student records and process transcript requests.
• Process transfer credit evaluations and diploma issuance.

Core Competencies & Qualifications

• Comfortable administering multiple SaaS/LMS platforms (Moodle, Freshdesk, Canopy, Pathway).
• Detail-oriented; able to maintain accurate academic records under audit-level scrutiny.
• Basic website/CMS familiarity (WordPress) is a plus.
• Working fluency in Spanish and English.

Performance Expectations

• Course shells and Moodle access ready ahead of each term start date.
• Transcript, transfer credit, and diploma requests processed within an agreed turnaround window.
• System administration issues (Freshdesk, Canopy, Pathway, website) resolved or escalated promptly.
• Student records maintained with zero unresolved discrepancies at each audit checkpoint.
